Position Summary
Let Grow is seeking a highly organized and self-directed Operations Manager to serve as the operational backbone of our remote team. This is a generalist role for someone who thrives on keeping systems running smoothly and loves solving problems across HR, finance, fundraising operations, technology, and compliance. The role partners closely with a contracted bookkeeper who handles day-to-day QuickBooks entry and monthly reconciliations, freeing the Operations Manager to focus on financial reporting, restricted fund tracking, fundraising documentation, and nonprofit compliance — all in service of freeing up mission-focused leadership to do their best work.

Key Responsibilities

Finance & Administration
• Oversee organizational financial reporting and budget monitoring in partnership with the Executive Director
• Track and report on restricted donations and grant-funded projects in QuickBooks Online, ensuring accurate fund coding and compliance with donor restrictions
• Partner with Let Grow’s contracted bookkeeper, who manages day-to-day bookkeeping and monthly reconciliations, reviewing records for accuracy and flagging discrepancies
• Manage staff credit card workflows and expense reimbursement processes
• Coordinate with the contracted bookkeeper, external accountants, and auditors on financial reporting and audit preparation
• Oversee vendor contracts, insurance renewals, and organizational registrations

HR & People Operations
• Administer payroll and benefits through Gusto, including onboarding, offboarding, and ICHRA administration
• Maintain and update the employee handbook and HR policies to reflect remote workforce practices and state-specific requirements
• Manage independent contractor agreements and compliance
• Support hiring processes, including job postings, candidate coordination, and offer letter preparation
• Serve as a resource for staff on HR policy questions

Fundraising & Development Support
• Manage fundraising documentation, donor records, and gift tracking primarily through Salesforce
• Support development communications, including donor correspondence, acknowledgment letters, and campaign or appeal tracking
• Maintain data integrity and generate reports within Salesforce to support fundraising and development activities
• Coordinate with the Executive Director on donor stewardship documentation and reporting needs

Technology & Systems
• Administer and maintain Google Workspace accounts, permissions, and integrations for all staff
• Serve as Asana administrator: manage workspace structure, templates, permissions, and ongoing updates across the organization
• Manage organizational tools and SaaS subscriptions, including license tracking and renewals
• Support Salesforce CRM administration and data integrity organization-wide
• Maintain cybersecurity practices and enforce organizational IT policies across a distributed team
• Troubleshoot day-to-day technology issues and coordinate with external vendors as needed

Project & Team Coordination
• Manage organizational projects and team workflows in Asana, including task tracking, deadline management, and process documentation
• Maintain internal documentation, SOPs, and shared knowledge resources
• Support board meeting preparation, including materials and minutes
• Provide executive support to the Executive Director as needed

Compliance & Governance
• Manage state charitable registrations and renewals across all states where Let Grow operates or fundraises
• Support the annual independent audit, including preparing schedules and documentation and liaising with auditors and the contracted bookkeeper
• Track organizational compliance deadlines, filings, and required renewals
• Maintain compliance documentation and a compliance calendar

• Experience supporting an annual nonprofit audit
• Experience tracking restricted funds or grant compliance
• Background supporting a small nonprofit or startup environment
• Experience managing independent contractors across multiple state
